1. Create a new task
In the upper gray bar, click on the application group ORGANISATION. This will open a page with a list of our current tasks. We will create a new task from the left navigation bar or below the list of tasks by clicking on the item New task. In the open edit form of the new task, we will fill in at least all required fields, which are marked with an asterisk. We enter the name of the subject, select the task approver, ie the user who checks the task and finally approves the task. We set the required fulfillment priority. We can also set a deadline, assign the task to an existing contract or business account using a picker, insert a task description or upload an attachment, for example with the task documents. In the section Task assignment we select the assign to users, ie. users to whom the current task will be displayed in their tasks. We can also enter the total hours estimated of the task. We will save the task form.
2. Set the task to completed
When completing the task, the solvers can enter new comments for other solvers or approvers in the task using the New comment button. They can also upload an attachment to the task. Once the task is complete, the solver switches the status to Completed. If necessary (for example, when complications occur), the status of the task can also be set to Paused or Cancelled. After saving the task, we notice that the color of the task has changed on the view page. The completed task is now marked in blue. That is, it is awaiting approval.
3. Approve and return task
Once a task has been marked as Completed, it will appear to us (if we are in the role of approver) among the tasks to be approved. We open the task and if we want to reject the task, we change the status to Returned. We can enter the reason for the return in the comment and save it. The color of the task has changed to orange on the view page and the solvers continue to fulfill it again until they satisfy our requirements (the task can be rejected several times in a row). Once we are satisfied with the completion of the task, we will open the task and click on the Approved button. In this case, the task is completed and closed, the color of the task has changed to green in the view page.
About the assignment of a new task, but also about changes in its status, approval or rejection, the solvers resp. the approver is always immediately informed by e-mail.
