The stock taking is used to determine the actual amount of stock and compare it with the state of the stock system. This requires a physical recalculation of the stock items and a comparison with the stock system and the values reported by it.
The Stock taking form in NET Genium will help you with the stock taking, which you can call up after pressing the New stock taking button in the Stock taking view page. This one, like the others, contains a list of already completed stock takings and their results.
To edit a stock taking record, click the pencil icon in the row of the desired record. If you intend to take a stock taking, press the New stock taking button. This will open the Stock taking form, with the help of which the stock taking can be carried out.
In this form, you must first select the warehouse(s) in which you want to perform the inventory: Click on the name of the relevant stock (or with the key pressed
Now physically recalculate the individual items in the stock and compare the current actual status with the entry in the table (in the Recorded column). Enter this actual status for each item in the boxes in the Actual column. Continue this way for all items in the selected stocks.
You can save the stock taking sheet at any time (by pressing the Save button) and also process it in the form of a print report (after pressing the Inventory button, a link to a PDF file with the inventory report will appear at the very bottom of the form, which you can open ; this file is updated each time the Inventory button is pressed).
During the filling process, you can check the difference in stock at any time – both upwards and downwards. You will find out the differences after pressing the Update button. In the table, in the last three columns, you can see the following:
- Balance... piecewise difference between the stock system and the actual state.
- Purchase value difference... the value of the difference in the purchase price is printed.
If the last two columns show non-zero values, even though a difference is detected in the column for that record, it means that the item is not priced.
Once you are done filling in, you can settle the differences by pressing the Settle differences button. For entries with a negative difference, a goods received note will be issued, for goods that show a positive difference, a goods delivery note will be issued. Goods received notes and goods delivery notes can be found in the view windows Goods received notes or Goods received notes, under the label (description) Stock taking.
