NET Genium ERP - Internal News and IT administration

In the previous article NET Genium ERP – Tasks and Documents we got acquainted with tasks and documents.

We will now focus on internal communication within the Organisation module – ie messages and announcements. We will also show the corporate IT management system – hardware and software. These instructions, together with links to explanations of the terms used, can also be viewed online on the website https://www.netgenium.com/en/help/erp/organisation-help.

Internal messages and notifications

The application of internal messages and notifications mediates integrated communication within the information system. Allows you to send messages, record their readings to recipients and maintain their historical overview. As part of internal notifications, it then offers the option of posting important messages (notifications) on the home page of the NET Genium portal.

Sending and reading internal messages

In the upper gray bar, select the application group “Organisation” and in the left navigation menu the application “Internal messages and notifications”. We will create a new message by clicking on the “New message” option or on the button of the same name on the currently open view page. The edit form of the new message will open. We will fill in the subject of the internal message, its priority and content, attach any attachments and finally specify the recipients of the report. We can select specific users and at the same time entire user groups to which all users will be sent an internal message. Then click on the “Send message” button to send the message. After sending the message, its content is always immediately sent to all defined recipients in the form of an e-mail.

Recipients of the message will see the new message on the “My messages” view page on the “My new messages” tab and also on the home page in the portlets (by default). After opening the record of this message and reading it, we can confirm the reading of the message by pressing the “Confirm reading” button – the message will then store information about our reading (recipient's name and reading date). The message has now been moved to the “My read messages” table in the tab of the same name.

The sender can continuously check the reading of his messages via the “My sent messages” tab. After opening a specific message, they will see which of the recipients has already read the message and who, on the other hand, has not yet confirmed the reading.

Posting internal notifications

Internal notifications are created in a very similar way to internal messages. To create an internal notification, click on the “New notification” option in the navigation bar. In the open edit form, we fill in the content of the notification and define the groups of users to whom the notification will be displayed. After saving the record, the notification will be posted on the home page of the portal in the portlets of all employees who belong to the previously specified groups (by default).

Hardware and software

The hardware and software application registers all hardware and software equipment in the company, determines which employee uses what technological equipment and, last but not least, manages the purchase and installation of software on company computers.

1st step – Computer records in the company

In the navigation bar, click on the “Hardware and software” application and select the “New computer” option. The edit form for the new record will open. We will fill in all the necessary technological equipment and specifications. On the next tab we can specify what software is installed on the computer. However, you must first create records for this software. We will therefore save the record and click on the “New software” option in the navigation bar.

2nd step – Record creation software

In the edit form the software will fill in at least its name and type. Then click on the “New purchase” button. The view switches to the software purchase form where we specify the number of licenses purchased and their price. We will then save the purchase. Of course, even more of these purchases can be registered within the software. In the software form, we now see that our number of licenses has increased. If the software has free licenses available (“Number of available licenses” field), we can install it on one of the computers. So we save the software record and open a specific computer record.

3rd step – Software installation

On the “Software” tab, click on the “New software installation” button. The edit form of the new software installation on the computer will open. Select the required software from the list of software, fill in the installation date and save the record. If the software no longer has a free license, the record will not be saved (and therefore the software will not be marked as installed on the computer). The solution may be to uninstall it on another computer (described below) or to purchase additional software licenses. But if everything goes well, we will see our selected software in the table of installed software in the form of a computer.

4th step – Uninstall software

If we need to uninstall the software from the computer, we will open the installation record in the table of installed software, specify the date of uninstallation and save the record. The software will then be marked as uninstalled on your computer and will no longer take up a license. If we want to reinstall such uninstalled software on the computer, just delete the value of the software uninstallation date in the software installation record, or update the installation date and save the record again.

Creating hardware manipulations

Manipulation records will be used to record various transports or hardware manipulations. In the navigation bar, click on the “Handling” option, fill in the manipulation details in the open record and save at the end.

The application also offers simple statistics of purchased and installed software. These statistics are accessible via the “Statistics” option in the left navigation bar of the application.
